An international education consultancy maintains a large website and web-based knowledgebase that is managed and updated by a single IT staffer. Members of the globally-dispersed workforce email new and updated content for various parts of the website and knowledgebase, which are prioritized and then updated manually by the IT staff member.
The Problem:
Even an organization of modest size that is decentralized globally will put an incredible amount of work on a single technical resource, like the IT staffmember, and that is exactly what is happening with the email additons and updates. This maintenance work is one of many responsibilities for this individual, but the work can not be divided up amongst the workforce, because no one else in the workforce has the technical skills needed to maintain the website's raw code. Futher, the IT staffer is overloaded with rudimentary website tasks when dozens of other technical problems need addressing.
The Solution:
This particular problem is easily remedied and streamlined through the implementation of a web-based content management system, or CMS. Argot Systems builds customized content management systems and customizes open-source and proprietary content management systems. The kind of CMS that we recommend for a particular environment depends entirely on the IT framework that the client already has implemented. In this case, the education consultancy was running a Linux-based webserver, and thus we opted to implement an open-source PHP & MySQL CMS. The workforce was given unique user names and passwords, with varying levels of access, and given a short tutorial on using the CMS's updating interface, which resembles Microsoft Word. The maintenance workload shifted neatly from the IT staffer's shoulders, to the individual team members that wanted particular updates made, increasing the speed at which updates were made, as well as the amount and kind of other work the IT staffer was able to perform.
